Terms & Conditions & Membership Agreement

These Terms & Conditions (“Terms”) set out the basis on which Girlie Getaway Ireland (“we”, “us”, “our”) provides and arranges services for you. By confirming a booking, you (“you”, “your”, “group”, “customer”, “party”) agree to be bound by these Terms.
Please read them carefully before proceeding with your booking.

1. Definitions

For the purpose of these Terms:
1.1 “Girlie Getaway Ireland” means the trading entity providing and arranging group getaway packages as described on our website, proposals, itineraries, and correspondence.
1.2 “you”, “your”, “group”, “customer”, “party” means all persons named on the booking, including anyone who is added or substituted at a later date.
1.3 “Organiser” means the person making the booking on behalf of the group, who acts as the primary point of contact with us and assumes responsibility for the booking.
1.4 “Provisions” means all elements of the arrangements booked through us, including but not limited to accommodation, activities, events, spa services, meals, transport, and any other services included in your confirmed itinerary.
1.5 “Force Majeure” means any event beyond our or our suppliers’ reasonable control which could not, even with all due care, have been foreseen or avoided. Such events may include, but are not limited to, acts of God, natural disasters, war, terrorism, civil unrest, strikes, industrial disputes, failure of utilities, government actions or restrictions, pandemics, and extreme weather.
1.6 “in writing” includes correspondence by email or letter.

2. Scope of Service

2.1 Girlie Getaway Ireland provides a curated planning and booking service for women-focused group getaways. We design, coordinate, and arrange Provisions through a network of independent suppliers such as hotels, spas, transport providers, activity operators, and restaurants.
2.2 We act as an agent on your behalf. This means that your contract for the actual performance of the Provisions (e.g. hotel stay, spa treatment, activity) is with the relevant third-party supplier, and their own terms and conditions will also apply.
2.3 Our responsibility is to arrange the Provisions as described and confirmed in your itinerary and booking documentation, using reasonable care and skill.

3. Bookings

3.1 Bookings are generally made by an Organiser on behalf of the group. By making a booking, the Organiser confirms that:
  • They are authorised to act on behalf of all members of the group; and
  • All members of the group agree to be bound by these Terms.
3.2 A booking request is made when you confirm in writing that you wish to proceed with the proposed itinerary or package. A binding contract between you and Girlie Getaway Ireland comes into existence only when we issue a written booking confirmation.
3.3 Any indication that we are “holding space” or “checking availability” does not constitute a confirmed booking.
3.4 It is your responsibility to check all documentation issued by us (including confirmation emails, invoices, and itineraries) upon receipt. Any inaccuracies must be reported to us in writing as soon as possible. If errors are not notified promptly, it may not be possible to make corrections later, and additional costs may apply.
3.5 The Organiser is responsible for:
  • Ensuring that all details provided are accurate and up to date;
  • Keeping all group members informed;
  • Ensuring that all payments are made on time; and
Informing us in writing of any change in Organiser without delay.

4. Payment Terms

4.1 Deposit

4.1.1 Deposit required: €0 upfront at initial enquiry stage.
4.1.2 Deposit amount: Initial deposit per booking as outlined in your proposal – you can specify per person or per group in your final version if you wish to standardise).
4.1.3 The deposit is payable only after:

  • An itinerary or package has been presented; and
  • Availability has been checked and provisionally secured.

4.1.4 The deposit is non-refundable in all circumstances, save where otherwise specifically stated in writing.

4.2 Balance

4.2.1 The remaining balance of your booking is due no later than 6 weeks prior to the date of arrival. 4.2.2 If a booking is made within 6 weeks of travel, the full amount is payable at the time of booking. 4.2.3 Failure to pay the balance on time may result in:
  • Cancellation of your booking; and/or
  • Loss of deposit and any additional payments already made; and/or
  • Supplier cancellation in accordance with their own terms.

4.3 Methods of Payment

4.3.1 Payments may be made via our online payment platform or by other methods expressly agreed by us. 4.3.2 We reserve the right to charge a processing or service fee (for example, 3% with a minimum of €1) on card transactions, as specified at the time of payment.

5. Pricing

5.1 Prices are quoted in Euro (€) unless otherwise stated, and are correct to the best of our knowledge at the time of quotation.
5.2 We reserve the right to correct pricing errors and to adjust prices prior to confirmation. Any such changes will be communicated to you before your booking is confirmed.
5.3 Once your Provisions have been confirmed in writing, the price will not change except in cases where:
  • You request amendments;
  • Supplier policies impose additional costs; or
  • There has been an obvious and manifest error in the confirmed price.

6. Changes and Cancellations by You

6.1 Amendments
6.1.1 If you wish to make changes to your booking, you must notify us in writing as soon as possible.

6.1.2 Amendments can generally only be made up to 6 weeks before travel, and are always subject to:

  • Supplier availability; and
  • Any additional costs or charges imposed by suppliers.
6.1.3 Amendments requested within 6 weeks of travel:
  • Cannot be guaranteed; and
  • May incur supplementary fees; and
  • Will depend entirely on the policies and availability of the suppliers involved.
6.1.4 Significant amendments that materially alter the nature of the trip (e.g. changing destination, removing core accommodation, or substantially reducing included services) may be treated as a cancellation and new booking, in which case our cancellation terms will apply.

6.2 Cancellations

6.2.1 Any cancellation must be made by the Organiser in writing.

6.2.2 The following cancellation terms apply:

  • More than 6 weeks before travel:
    A credit note will be issued for the amount paid (excluding any non-refundable services where advised).
    This credit can be used against a future group event with Girlie Getaway Ireland.
    The credit note will be valid for 2 years from the date of issue.
    If an extension is required, you must contact us at least 90 days before the expiry date. We will consider extensions on a discretionary basis.

  • 6 weeks or less before travel:
    100% loss of all amounts paid.
6.2.3 The initial deposit to secure the package is, in all cases, non-refundable.
6.2.4 The group composition attached to a credit note does not need to be identical in future use. Names can change; however, new travellers must agree to these Terms.

7. Postponements

7.1 If you need to delay your trip rather than cancel it outright, you may request to postpone your booking.
7.2 Where postponement is agreed, the full value of payments made (excluding non-transferable or non-refundable components) will be held as credit toward a future Girlie Getaway Ireland trip.
7.3 This credit must be used within 12 months from the date of cancellation, although the actual travel date may fall beyond that period subject to availability and pricing at the time of rebooking.
7.4 Components with fixed dates or non-transferable conditions (such as specific event tickets, seasonal pricing, or exclusive experiences) may not be able to carry over. In such cases:
  • We will advise you of the limitations;
  • We will offer suitable alternatives where possible; or
  • The cost of such non-transferable components may be deducted from your available credit.
7.5 A booking that has already been postponed may be transferred to another person, subject to standard transfer conditions (see Section 13).
7.6 We reserve the right to limit the number of times a booking may be postponed or transferred, in order to ensure fairness and maintain operational integrity.

8. Supplier Policies

8.1 Many Provisions are fulfilled by third-party suppliers who operate under their own booking, amendment, and cancellation policies.

8.2 In some cases, supplier terms may be more restrictive than those of Girlie Getaway Ireland. Where this occurs, supplier terms will take precedence in relation to their portion of your Provisions.

8.3 Any additional fees, penalties, or non-refundable amounts imposed by suppliers will be passed on to you at cost. These may relate to:

  • Non-refundable hotel nights;
  • Spa and treatment booking rules;
  • Minimum numbers for activities;
  • Name-change fees;
  • Cut-off dates for amendments.

8.4 We will communicate any such supplier-specific conditions to you in writing where they are known and relevant.

9. Group Size and Pricing

9.1 Prices are often based on minimum numbers, shared occupancy, and group-based supplier pricing.

9.2 If your group size changes, the pricing of your itinerary may need to be recalculated. This can result in:

  • A higher per-person cost if numbers decrease; or

  • An adjustment in room configurations or inclusions.

9.3 Any additional balance resulting from a change in group size must be settled before the amendment is confirmed.

9.4 These adjustments are not considered cancellation penalties but natural consequences of the revised group size and supplier charging structures.

10. Force Majeure

10.1 We shall not be liable for any failure to perform, or delay in performance of, any of our obligations under these Terms that are caused by a Force Majeure event.

10.2 In the event of Force Majeure, we will use reasonable efforts to assist with alternative arrangements, where feasible, but are not obliged to provide refunds or compensation where suppliers are unable or unwilling to do so.

11. Behaviour

11.1 You are responsible for the behaviour of all members of your group for the entire duration of your arrangements.

11.2 We and our suppliers reserve the right to refuse service, terminate Provisions, or remove individuals from activities or accommodation without refund if behaviour is, in the reasonable opinion of the supplier or any person in authority:

  • Dangerous;
  • Disruptive;
  • Offensive;
  • Illegal; or
  • Likely to cause damage to property or distress to others.

11.3 Many suppliers may require a refundable security deposit upon check-in or arrival. The conditions and return of such deposits are strictly between you and the supplier.

12. Health and Fitness

12.1 It is your responsibility to ensure that all members of the group are physically and medically capable of participating in any activity or experience included in your package.

12.2 You must inform us in writing at the time of booking of any:

  • Medical conditions;
  • Mobility restrictions;
  • Dietary requirements;
  • Other special needs that may affect your provisions.

12.3 We reserve the right to refuse or cancel participation in specific activities if, in our reasonable opinion or that of our suppliers, it is not safe or suitable. In such circumstances, refunds are not guaranteed.

12.4 Some activities may be inherently higher risk. By participating, you accept such risks and are required to have appropriate personal travel insurance (see Section 14).

13. Booking Transfers to Another Person

13.1 If you are unable to travel, you may request to transfer your booking to another individual.

13.2 To do so, you must submit a written request between 8 and 6 weeks before the scheduled arrival date.

13.3 The new traveller must:

  • Meet all eligibility and participation requirements;
  • Agree to these Terms;
  • Arrange their own travel insurance (policies cannot be transferred).

13.4 Any fees imposed by third-party suppliers for name changes, reissues, or rebookings will be passed on at cost and must be paid in full before the transfer can be finalised.

13.5 Girlie Getaway Ireland does not charge an additional administrative fee for processing a transfer request, unless otherwise stated.

14. Insurance

14.1 It is a condition of booking that you have adequate and appropriate travel insurance for the duration of your trip, including cover for:

  • Cancellation;
  • Curtailment;
  • Medical expenses;
  • Personal liability;
  • Participation in any included or optional activities.

14.2 We do not provide insurance and cannot be held responsible for any costs incurred due to lack of adequate cover.

15. Special Requests

15.1 Any special requests (e.g. room locations, special occasions, dietary needs) must be notified to us in writing at the time of booking.

15.2 While we will pass on all reasonable requests to our suppliers, we cannot guarantee that such requests will be met unless expressly confirmed in writing.

16. Complaints

16.1 If you experience any issue or dissatisfaction during your getaway, you must:

  • Raise it immediately with the relevant supplier so they have an opportunity to resolve it; and
  • Where necessary, notify us as soon as reasonably possible.

16.2 If the matter is not resolved locally, you must submit a formal complaint to us in writing within 7 days of your return.

16.3 Failure to follow this procedure may affect your ability to seek redress, as it may prevent us and/or our suppliers from properly investigating the matter.

17. Accounts and Security

17.1 When you create an account with us (e.g. on our website or client portal), you agree to provide accurate, current, and complete information.

17.2 You are responsible for safeguarding your password and for all activities that occur under your account.

17.3 You agree not to disclose your password to any third party and to notify us immediately of any suspected unauthorised use.

17.4 We reserve the right to suspend or terminate accounts in cases of misuse or breach of these Terms.

18. Intellectual Property

18.1 All content, branding, website design, itineraries, documents, and materials created by Girlie Getaway Ireland remain our intellectual property and may not be reproduced, distributed, or used commercially without our prior written consent.

19. Links to Other Websites

19.1 Our website or documentation may contain links to third-party websites or services.

19.2 Girlie Getaway Ireland has no control over, and assumes no responsibility for, the content, privacy policies, or practices of any third-party sites.

19.3 Your use of third-party sites is entirely at your own risk. We strongly recommend you review their terms and privacy policies.

20. Disclaimer

20.1 Your use of our services is at your sole risk. Our services are provided on an “as is” and “as available” basis.

20.2 To the fullest extent permitted by law, we exclude all warranties, whether express or implied, including but not limited to implied warranties of merchantability, fitness for a particular purpose, and non-infringement.

21. Limitation of Liability

21.1 To the extent permitted by law, our total liability to you, whether in contract, tort (including negligence), or otherwise, shall not exceed twice the value of the affected element of the booking (excluding insurance premiums, amendment charges, and non-refundable components), except in cases involving death or personal injury caused by our negligence.

21.2 We are not liable for:

  • Any act or omission of third-party suppliers;
  • Any services not expressly booked through us;
  • Any loss of enjoyment, indirect or consequential losses, or business losses.

22. Governing Law and Jurisdiction

22.1 These Terms and any disputes arising out of or in connection with them shall be governed by and construed in accordance with the laws of Ireland.

22.2 You agree that the courts of Ireland shall have exclusive jurisdiction over any dispute or claim arising from or related to these Terms or your booking.

23. Changes to These Terms

23.1 We reserve the right to amend these Terms at any time.

23.2 If a revision is material, we will endeavour to provide at least 30 days’ notice before new terms take effect, where practicable.

23.3 By continuing to use our services or proceed with a booking after changes take effect, you agree to be bound by the revised Terms.
